VizSwap offers your company an intuitive way to organize project assets and collaborate with your team & customers!
How to Start:
Log in to your VizSwap site (https://<yourdomain>.vizswap.com), click on your company logo in the top left of the screen. You will be taken to the "My Projects" page if you are not already there.
1. Initial Project Setup:
To begin setup on a new project click the "Create New Project" button. Let's go over some details about the parts of this page.
- All Projects are tied with Customers and the first part of this page is for you to choose an existing customer or add a new one on VizSwap.
- The Name field is to identify and keep track of what this project is about or who it is for. Pick something meaningful and descriptive!
- Team Members are people in your team that you wish to add on this project.
- The Questionnaire selection lets you optionally have a customer fill out a questionnaire before joining the project, or you can leave this selection blank to have them join directly. This is very useful if your questionnaires onboard customers to how you run projects.
- Send Invitation lets you optionally send an email that brings your customer onboard and lets them setup an account immediately upon project creation. When unchecked the customer is created on your VizSwap company, but they cannot login without some form of invite. You can send an invite manually in the future when the project is ready for them to join. This is useful for when there is some "scaffolding" or project prep you would like to do internally before inviting your customer.
- The Message is where you can write out an invitation to your customer if you chose to send an invite during project creation. Your message will appear in the invite email.
2. Using Your New Project:
When finished creating your project, you will be taken to that project's dashboard.
From this part of VizSwap you can do a number of things:
- rename your project
- archive your project
- add more people to the project
- create boards
- add files (either in a specific board, or just for the project itself)
- check on project activity
- send more questionnaires and view their results and organize feedback
The next step really depends on your own preferences and business process, but creating boards is usually a great start.
3. Creating Boards:
Project Boards are one of VizSwap's core features, and you will become very acquainted with them as you use the platform. There are two ways to create boards:
- Manually through the project's "Boards" page.
- Automatically based on responses to questionnaires. To learn more about setting this up, please read our How to create a Questionnaire article.
Let's click the "New Board" button on the project's "Boards" page.
Next, you will be greeted with a blank board. It's recommended to change the default name to something descriptive and relavent to your project to save confusion down the line.
Now that you have a board setup, adding files is easy! Images and Files are kept in different tabs for organization, and adding things to your board will start bringing the project to life! There are 3 ways to upload assets to your board in VizSwap
- directly drag and drop
- click in the dropzone
- click the "Add Images" or "Add Files" button in the top right
Please take note of the following:
- 20 files may be selected for upload at a time.
- the speed of asset uploads is totally reliant on your current internet speed. https://www.speedtest.net/ is a wonderful resource if you seem to be having trouble with uploads. Use this test and then contact your Internet Service Provider to address upload issues. Anything under 20 down and 10 up could be problematic for uploading lots of files.
4. An Example of Using Boards:
In this section, you can see some screenshots of an "Interior Design" project where I have created 6 boards and invited my customers to upload images. Below each board, you can see how many images are on it and how many comments people have left.
If I click on the "Master Furniture" board, I can browse all the references and inspirations that have been collected here. In the next screenshot you can see that one of the images has been "Pinned" to the top of this board to easily locate it.
If I hover over the image, VizSwap will show me a number of very useful options
In addition to seeing some information about the comments on the picture, I also can choose from the icons in the top right of the image depending on what I am trying to do. Hover over the icons for short descriptions of the tools.
- resize - change the image's resolution
- move - move the image to a different board
- delete - delete the image
- unpin - remove the image from the pinnned section
Let's click on this image to see some more info about what is going on.
It looks like Steve has uploaded this image and commented on why its pinned. I also have the option to leave a comment and there are some very important checkboxes visible
- Notify - send an email to people on this project about your comment
- Internal - choose if the comment stays internal to my team, or if the customers on this project can also see it
