VizSwap provides your company a powerful & integrated solution to manage company tasks!
1. Getting Started:
Log in to your VizSwap site (https://<yourdomain>.vizswap.com), click on your profile icon in the top right, and then select "Task Types".
On this page, you can setup how your company manages & organizes tasks. You can approach this as a multi-stage task status, task type, or as a custom filter to make finding certain types of tasks easier down the line.
Don't worry about getting everything setup right now, anytime you can return to this page and continue customizing. Click directly on the Task Type title to edit existing types.
2. Creating Tasks:
Tasks are an integral part of Vizswap, and there are a few different places they can be created from.
The "All Tasks" page,
on each project's "Tasks" page,
on project board's individual images,
and lastly, in the image details window for board's images.
Each of these spots, will allow you to create a new task. The new task panel looks like this:
A task is made up of a few different fields
- Title
- Description
- Project - link this task to a company project
- Assignee - person responsible for this task
- Followers - people interested in comments & status changes for this task
- Due Date
- Files - you can upload by clicking the "+" icon at the bottom or using Ctrl-V to paste images anywhere on the page while this panel is open
- Comments
Almost all of the above fields can be filtered for on the overview pages. Let's look at the "All Tasks" page and see what is possible.
3. Finding Tasks:
The task pages come with some default filter options
- Group By - Split the list of tasks into sections based on the chosen criteria
- Show only my tasks
- Tasks I'm following
- Read
- Completed
These filters give you a great starting point. For even more options click the "Filters" button and a side panel will pop up that provides filtering for more of the task's fields. Lastly, you can also use the search bar at the top for more fine-grained searches.
If you setup a few filters and want to save them for later, you can make use of browser's bookmark feature or save the URL however is most convenient for you. This also means that you can share a set of filters with your coworkers to help keep everyone on the same page. Imagine setting up a filter for completed tasks on a specific project, grouped by date and then wanted to put that link on the project's dashboard to periodically check on.
3. Updates:
Tasks will send out emails at import points in their life-cycles. Users will get summaries of what tasks they have been assigned, both the task assignee and followers will get notifications if the task has become overdue, and participants will get notified of comments on tasks.
To get a bigger picture of the task activity in your company, you can make use of the Activity page and filter by Activity type:
